Booking and Prices

If you would like to book any of our facilities at Sandy Acres please read the information below:

  1. Bookings can be made for up to three years ahead.
  2. Check the online calendars to see if the dates you require are free.
  3. If they are, e-mail or phone the Booking Administrator to reserve dates. She will then make a provisional booking which will be held for four weeks only.
  4. If you decide to go ahead download the BOOKING FORM. Send the completed form with your deposit cheque £100 (this will be banked and offset against the final invoice) to Mrs Marian Fisher, 22 St Mary's Avenue, Alverstoke, Gosport PO12 2HX.
  5. Caution money. In addition to the deposit cheque a further cheque for £100 plus a stamped addressed envelope (for the return of the cheque, if no charge for damage is due, otherwise it will be destroyed) must also be sent with the booking form. This cheque must be dated with the start date of your event. It will not be banked, but held by the Booking Administrator and only cashed in the event of any failure to comply with the requirements set out in the departure checklist. If any damage is done additional charges may be incurred.
  6. All cheques are to be made payable to: Sandy Acres Management Committee.
  7. If you ask in advance cleaning can be undertaken by our Housekeeper at £15 per hour.
  8. When your booking has been confirmed we will send you a link to a secure part of this website where you will be able to download a series of useful documents that you will need for your stay at the site.
  9. If a provisional booking has not been confirmed within four weeks, the dates will then be released after notification to the person who made the initial enquiry.
  10. Cancellations: must be made in writing to the Bookings Administrator. Charges will be made as follows: less than 14 days notice the full fee will be charged; between 14 days' and three months' notice 50% of the fee will be charged. The deposit is non-returnable.

Balance of hire payments

The balance must be settled in full two weeks prior to the event. Cheques are to be made Payable to the Sandy Acres Management Committee.

Sandy Acres Charges from 1.9.2024 to 1.9.2025

1. Guides, Scouts and Other Approved Charities


Badgers' Lodge

  • A modern building, with sleeping accommodation for twenty-four girls in three rooms in bunk beds.
  • There are also two en-suite Leaders' rooms, each accommodating up to four people in single beds, plus toilet and shower.
  • Showers and toilets for able bodied and disabled people.
  • A kitchen and large central hall.
  • An Adventure Trail for Rainbows and Brownies is situated between Owls' Hoot and the wood pile.
  • Two picnic tables and benches are to be found on the bank (road side) just past Owls' Hoot.

Charges

  • Guides, Scouts and other charities £9 per head per day or part of a day.
  • Minimum charge £135 per day or 24-hour period. Exit time 6pm.
  • Half day use £60 up to six hours; deposit £20.
  • Electricity charge £30 per 24-hour period. Meter must be read and recorded in the book (in Leaders' room) at the beginning and end of an event.
  • An excess charge of £50 will be made if this record is not fully maintained.
  • Evening meetings £30 up to three hours; deposit £10.

Camp Sites


Fox Den and Owls' Hoot

  • These two sites are available with solid based shelters and altar fires.
  • A third area, Rabbits Field, is available for overnight camping e.g. (D of E).
  • All campers have external access to campers' showers and toilets in Badgers Lodge.
  • In addition, eco toilets are now available, sited at the far end of the field.
  • Frig and freezer are available in the shed on the car park plus a phone charging point.

Contents of shelters

  • Stainless steel cabinet, tables, chairs, parasol for table and shelves.
  • Shelters can be very dark on wet days please bring your own LED lanterns.
  • There is plenty of wood on the woodpile (please check for nails).
  • Wood can also be gathered from the grounds.

Charges

  • £6 per head per day (24-hour period); deposit £25.
  • Evening hire minimum £30 up to 100 people plus £1.50 per head for additional numbers.

Larger Events

Badgers' Lodge only

Charges

  • £135 per day or 24-hour period. The building must be vacated by 6pm.
  • Electricity charge £30 per 24 hour period. Meter must be read and recorded in the book (in Leaders room) at beginning and end of an event.
  • An excess charge of £50 will be made if this record is not fully maintained.

Whole field – excluding Badgers' Lodge

Charges

  • £250 per 24-hour period, up to 100 people plus £1.50 per head for additional numbers.
  • Use of campers' showers and toilets in Badgers' Lodge.
  • Eco toilets sited in field.
  • Frig and freezer are available in the shed on the car park.

Whole site hire

Charges

  • Badgers' Lodge plus whole field £385 per day.
  • Electricity charge £30 per 24-hour period. Meter must be read and recorded in the book (in Leaders' room) at beginning and end of an event or an excess charge of £50 will be made if this record is not fully maintained.

Caravans

Charges

  • Caravans and camper vans on site, belonging to leaders who are camping or staying in Badgers' Lodge with a group, £10 per night.

3. Other Users


Private hire, of any type, may only take place during school term time and is subject to discussion with the Bookings Administrator.

Badgers' Lodge only

Charges

  • £12 per head per day or part of a day.
  • Minimum charge £144 per day.
  • Deposit £100.
  • Half-day use £72 up to five hours (deposit £20).
  • Private camping £7 per head per 24-hour period.
  • Electricity charge £30 per 24-hour period. Meter must be read and recorded in the book (in Leaders' room) at the beginning and end of an event.
  • An excess charge of £50 will be made if this record is not fully maintained.

Cleaning

Charges

  • If you ask in advance, cleaning can be undertaken by the Housekeeper from £20 per hour.

Caravans

  • Hiring for caravans and camper vans on site must have the committee's approval in advance.
  • An Individual Booking Agreement is available from the Bookings Administrator.

Evening Campfires

Charges

  • £30 for campfire circle plus toilets.
  • £10 for use of kitchen in Badgers' Lodge.

Fireworks

  • Because of the close proximity of farm animals fireworks are not allowed on the site in any circumstances.

Rubbish Disposal

  • A wheelie bin is available for domestic rubbish which should be securely closed and placed by the entrance outside the gate on departure.
  • No bags must be left outside the bin as this is a health hazard and makes a general mess when opened by animals.
  • Caution money will be deducted if members of the committee have to deal with your rubbish!
  • Wheelie bin day: early Thursday morning, so please put the bin out on Wednesday evening.
  • Hirers are encouraged to remove from the site and take home any recyclable and non-recyclable materials e.g. wood pallets.
  • Large events – Red Biffa bin is available by prior arrangement.
  • Emptying charge £30.
